Most of the time the problem is simply a matter of how you’re looking up your stats versus how Master Site Manager looks them up.

For example we look up your site in the format:

Remember, you want to compare apples to apples here, so it’s very important to put both the “http://” AND the “www” in your domain so that you are looking up your site the same way we do.

If you play around with it and do your searches in Yahoo for example, you’ll see the effects using the “http” and the “www” when searching vs., not using them. The differences are really quite dramatic.

We’ve done a lot of testing and found this format to be the most accurate.

But What If Your SEO Results Still Don’t Match Ours?

There are few other things that could be contributing to this.

Sometimes the results you’ll see are different based on geography and from what data center your ISP is getting its results from especially if you’re located outside of the United States (all of our look up servers are currently located in the U.S.)

Other times it might be that we looked up the results a few days ago and they’ve changed.

An easy thing to do is just press the “Update Stats” button in your control panel. Then see if this doesn’t fix the problem. 9 times out of 10 it will.

If your results are still not matching up, use the support contact form and let us know about it.

It’s something we can take a look and get fixed for you.

Adding a new URL to your SEO stats tracking account is easy.

Simply go to the MANAGE WEB SITES tab and look for a button that says ADD NEW URL.

A new window will appear where you will enter your data.

1 – The first field is your website or page URL.

This is the full URL of your website, like www.mydomain.com, or it could be the address of a social media page where your content lives. This might be a hub page or squidoo page for example.

2 – In the next field enter the name of your host provider or content host.

This could be the name of where you’re hosting a website like, hostgator.com or in the case of a social media site that’s hosting your content it could be something like Squidoo.com

3 – Next you’ll enter in the control panel login address for the hosting company or content host for this web property.

4 – The next field after that is where you’ll enter the name of the domain registrar for this site. For example GoDaddy or network.

If you’re entering a hub page or something like that into your account, you can leave this field blank.

5 – Ok, next up is you’ll want to enter the web address for the control panel of the domain registrar for the URL you are currently adding to your account.

Again if you’re adding a Squidoo lens or something like that to your account, you can leave this field blank.

6 – If you are parking a domain rather then hosting it somewhere, you can enter in the location of where it’s parked here.

Of course this might not apply to you if your website is active. If so just leave this blank.

Now, as you can see some of the site information fields are optional, like parking but you really want to make sure to at least enter the Site or Page URL, and Hosting control panel URL at the very least.

Otherwise you won’t be able to use your accounts “ one click to launch” feature. This feature gives you the ability to login to your web hosting, registrar, or content host control panels without having to open a bunch of new windows.

Now, once all the information is entered click the SAVE button.

The system will securely take the information you just entered and will populate your account automatically

On a side note, if you ever get stuck and don’t remember what a particular field is for while setting up a new web property, simply hover your mouse over the little blue question marks for an explanation of what you need to enter in the field.

Now let’s say that you’re a power user and you’ve got more than just a few websites you’d like to monitor.

But the idea of having to type in the details for each site individually seems sort of overwhelming doesn’t?

No need to worry because you can easily import all of the relevant information for all of your websites at once.

To import a list of sites simply log into your account and click on the ADVANCED tab in the blue horizontal navigation bar at the top of the page.

Then under the heading “IMPORT WEBSITES” you’ll see a link to click for instructions and a .CSV template that contains the proper formatting for our system. when you click this link you’ll be taken to a new page. it’s on this page where you’ll actually do the importation of your websites.

1.	To get started, simply download the Microsoft excel (.csv) template.

(Or you can download the template here)

2.	Now add your sites, including log in URLs, web hosts, etc to the specified columns in the .csv template.

Note: If you are ready how this information in a.CSV template, simply rearrange the columns in that spreadsheet to match those of our template. though honestly you’re better off transferring all of your data to our template to make sure that everything works as it should.

3.	Once you’ve added all your site information, save the file and then use the “browse” and “Upload Websites” buttons below to add your sites to your account.

Once your information has been uploaded, we will start looking up your SEO stats and you will receive an email from the system once your tracking stats are ready.

Note: Be sure to white list “@mastersitemanager.com” in your e-mail program so your confirmation email doesn’t accidentally get stuck in your spam folder.

Please note: Your web site stats will not appear in the SEO Stats tab until you receive notification e-mail you.

The SEO STATS tab gives you the 10,000 foot overview of your network of web properties or those of clients – all at once.

In essence, it will show you how effective your current SEO strategy really is, where your doing well and where you need to improve.

With this page you will be able to see “at a glance” the most important overview data for each one of the websites you are monitoring immediately.

We track PR, Back links from Google and Yahoo, how many of your sites pages are actually indexed in Google, Yahoo, Bing and Alexa too.

And though it carries less weight than it used to, we even track the Alexa ranking as well automatically.

As with other tabs in the system that offer monitoring functions, you are able to sort each column a number of different ways to suit your liking and to reduce the time that you need to spend searching for information.

Now, in the SEO STATS overview grid, Green numbers mean an increase in something, Red numbers mean a decrease, and black indicates no change.

By using this color code system and presenting all of the major monitoring indicators on the same screen, you’re able to immediately get a sense of what’s working and what’s not.

You’ll quickly be able to tell where your SEO efforts are paying off and where you need to get to work

But let’s say you want to drill down a little bit further.

For example, let’s say that you see an GREEN number in Yahoo back links column. This indicates that the number of back links that Yahoo is counting toward your site has increased. (Bo0 Yah!)

Simply click on any number you see in the grid and the system will launch a chart that displays that particular stat over time.

Now the real beauty of this is that now able to see in real time the effectiveness of any linking campaign over time. And the longer your site is in the system, the greater trend history you’ll develop.

Now to check other stats, simply click the “JUMP BACK to STATS” link at the top of the page, and the system will drop you back into the overview grid so you can check other ranking indicators or review other indicator trends.

Lastly, on the far right hand side you’ll see the KEYWORDS column.

Here you’ll see the number of keywords you’re tracking for that particular domain.

To view those keywords and their statistics simply hover your mouse over the word “VIEW” and click the link.

A new page will pop up that lists every keyword you’re currently tracking and your position for that Keyword in Google, Yahoo, and Bing.

Once again you be able to click on any number in the keyword listings and have the system draws a trending chart that shows your position for a particular search engine for that keyword over time.

The bottom line is that you no longer have to spend an average of 15 to 20 minutes per URL several times a week trying to compile all of the SEO stats needed to be able to see the big picture of how well your websites are doing because we’ll do it for you automatically and have it ready every time you login.

If you’ve got multiple websites or you’re managing sites for clients, you just saved you a whole lot of time.

Exporting keyword position reports is done from within the keywords section of the SEO STATS tab.

To export the report:

Go to the SEO STATS tab

Next look for the URL that you want to export a keyword ranking report, and then click the link labeled VIEW in the keywords column.

On the new page that appears at the top of the new page that appears you’ll see the heading “KEYWORD STATS FOR: yourdomainname.com” and next to that an icon for a PDF report and an icon for a spreadsheet report.

Click the icon for the type of report that you would like, and the system will generate that report for you automatically. In the case of the .PDF report, a new browser window will appear with the .PDF preloaded for you.

From here you can save the PDF file to your hard drive by clicking the SAV icon or you can print the file immediately. If you’ve chosen an Excel spreadsheet report, a little window will pop up asking you whether you wish to open or save the file.

Simply make your selection and click okay.

Incidentally, if you’re a webmaster or professional SEO doing client work, you can import your own company logo into the system and have it appear automatically at the top of your reports instead of having to report display our default logo.

To add your own logo to the system you’ll need to click the “Advanced” tab located at the top of the page of your online account’s control panel.

When you first log into your account, one of the first things you’ll notice is the MANAGE WEB SITES tab. This tab in your seo monitoring account gives you all the important information about network of web properties that your monitoring. It will list:

All the domain names of each site or web property

The URL’s of each site or web property

The IP address of each site or web property

Where each site or web property is hosted

Whether or not the domain is parked

Who the domain registrar is for each domain

You’ll also notice and “Actions” and “Active” column to the far right, but we’ll get to those in just a minute. There are some important features on this particular tab that like to make you aware of. First of all you’ll notice that you have the ability to sort each column. Using this feature you can quickly see how many websites you have hosted a particular web host, registered your particular domain registrar or how many websites reside on the same IP address for example. Now there’s some confusion about whether or not it safe to host multiple websites on the same IP address as you might find in a shared hosting using add-on domains. So let’s set the record straight once and for all – The fact is it’s perfectly acceptable to host multiple websites all using the same IP address. Just do not link all those sites together if they live on the same IP address and you’ll be fine. Now if you click your mouse on any listed web host or registrar name within the manage websites tab, the system will launch a new window for you automatically that links to the login page for that web host or domain registrar. This makes it super easy for you to update hosting or registration information without actually having to leave your accounts online control panel. Now let’s get back to the ACTIONS and ACTIVE tabs. Under the ACTIONS tabs you will see four (4) icons. The first allows you to see WHOIS record for that particular domain. The second allows you to add NOTES about that website. This is extremely helpful if you are making changes to your site to test on page as SEO factors or if perhaps you’ve done the media by of some sort. Simply launch the notes window and type in a few sentences about what you’ve done or plan to do. The system will automatically add a date stamp and carry that forward each time you make a new note about that website. Using the NOTES feature is a great way to develop a diary on how effective your current SEO strategy is for any particular linking campaign or strategy that you might be using. The next icon allows you to CHANGE and/or update SETTINGS for a particular website. (Launch site settings) and this comes in very handy should you ever change web hosts or domain registrars. The final icon, when clicked will DELETE a particular record (web property) from your SEO tracking account. Please remember, if you are doing SEO monitoring for a particular domain and then delete that site from your account, there’s no way to get it back and you’ll lose all of stored or tracking information even if you add the domain manually back again to your MasterSiteManager.com account. Finally, there is the ACTIVE column. Here you’ll see either a green or red indicator. As part of our SEO tracking and monitoring services, the system automatically pings the domains listed in your account at least once a day to ensure that all your websites are live. If any of your sites fail to respond, you’ll see a red icon and you’ll also receive an e-mail notification alerting you that your website has gone down. Some services charge upwards of $49 a year or more for simple domain monitoring like this one is included as part of your membership at no additional charge. Watch video here

Arguably, one of the most important tabs in your SEO ranking software control panel is the KEYWORDS tab.

For many of our clients – both professional search engine optimizers as well as individuals - this is where the “rubber meets the road” so to speak because the keyword position grid instantly gives you the ability to see exactly how well all of your keywords are doing – at a glance!

Like the “Manage Websites” overview screen, the “Keywords Tab” shows you instantly how effective your current keyword strategy really is, which keywords are doing well and which ones need more work.

The beauty of this page is that you’re instantly able to see “at a glance” exactly how your keywords are ranking for each website you are tracking in Google, Yahoo, and Bing.

Only after you use this feature we you truly understand the power and time savings that it gives you.

As with the SEO stats overview grid, Green numbers mean an increase in something, Red numbers mean a decrease, and black indicates that there has been no change in that keyword ranking..

By using this color code system and presenting all of the major search engines on the same screen, you’re able to immediately get a idea of how well your keywords are doing across the board.

You might have a #1 ranking in Google for a particular keyword but that same keyword only ranks #15 in Yahoo. Time to get to work.

But my favorite part of the Keywords Tracking Overview Grid is that it gives you the ability to see a trending chart for any particular keyword AND to see how that keyword has performed over a period of time.

Here’s an example:

Let’s say that you see an GREEN number in Yahoo column. This indicates that your ranking for that particular keyword has moved up. (And that’s a good thing right)

To see how many positions it’s moved simply click on any number you see in the grid and the system will launch a chart that displays the ranking and performance of that keyword since the time it was entered into the system.

And of course the longer you monitor that particular keyword is in the system, the greater trend history you’ll develop.

Now to check other stats, simply click the “Jump 2 keyword” link at the top of the page, and the system will drop you back into the overview grid so you can check the rankings for other keywords that your monitoring.

Like the manage websites tab, the keywords stats page lets you sort each column a number of different ways to suit your liking and to reduce the time that you need to spend searching for information.

The bottom line is that if you’ve got a number of sites that your monitoring keywords for, staying on top of the movement of those keywords both up and down can be a real time killer.

Being able to see everything at a glance and know instantly which keywords have moved up and which ones have moved down is a huge timesaver for any webmaster managing multiple sites or for professional SEO’s managing thousands of clients sites.
